The Butterfly Club hires its function rooms on the terms and conditions set out below. Reserving a dateWe are happy to reserve a date for you for up to seven days, at no obligation. An inquiry made via our online booking form does not constitute a reservation, but when we reply we’ll let you know if we’re able to hold the date for you. If you have made a tentative (not yet paid for) booking and someone else wants to book the same date, we will attempt to contact you to offer you first option to confirm, but failing that, The Butterfly Club reserves the right to accept the other booking without accepting any liability. TimesThe Butterfly Club is licensed within the following hours: Monday to Saturday: 5pm–1am To abide by our license conditions we will call last drinks around 30 minutes prior to the end of the licensed period. Food and drinkThe Butterfly Club is a fully licensed food and beverage venue, with a kitchen preparing a variety of finger-food options and two equipped bars over two levels. Due to licensing conditions functions held at The Butterfly Club must be catered for by the venue; this includes both food and beverages. However, you are more than welcome to bring in your cakes or cupcakes for birthdays at no charge. The Butterfly Club is not licensed to serve ‘Take Away’ food, and as a consequence no food provided by the venue may be taken from the venue at the conclusion of a function. For catering orders, if your number of guests reduces within 10 days of your function we are unable to alter your catering order and will not refund any part of a prepayment. FacilitiesAt all times the venues management will have exclusive control over the facilities, this includes (but is not limited to), the PA and sound system, the bar operations, and staffing. Outside suppliersAll additional setup needs and suppliers required for the event must be pre-approved by The Butterfly Club. All materials not belonging to The Butterfly Club must be removed at the conclusion of the event. While we will endeavour to look after you as best we can, no responsibility will be taken by the venue for any lost or damaged items. ChildrenYou are responsible for all persons under the age of 18 attending your function. Guests under the age of 18 must be under adult supervision. The venue will not be responsible or liable for any damage or injury suffered to, by or in connection with children, including if children leave the function venue or are not properly supervised by responsible adults. Stolen or damaged goodsOrganisers are financially responsible for any stolen goods or damage sustained at The Butterfly Club by the organiser, organiser’s guests, invitees or other persons attending the event. Force majeureShould The Butterfly Club be prevented or substantially impeded from providing any services contemplated or confirmed due to circumstances beyond our control (eg ‘Acts of Gods’, power failure, etc), you will make no claim for loss or damage against The Butterfly Club or any related entity or person and will not permit any party to make any claim through you. CleaningAdditional cleaning costs may be incurred if your event requires more cleaning than what would reasonably be expected for a function of this kind. Cancellation and reschedulingIf your function is cancelled less than 10 days prior to your function, the minimum spend is not refundable. If your function is cancelled within 10 days of the function, the minimum spend is not refundable and we will retain 50% of other amounts paid in addition to that. If your function is rescheduled at any time, you forfeit 50% of the minimum spend. If we’re able to find a replacement booking we will negotiate in good faith over any reduction in these agreed cancellation or rescheduling fees. PricesAll prices are subject to review and change. The Butterfly Club’s Responsible Serving of Alcohol (RSA) Policy:The Butterfly Club is committed to the responsible serving of alcohol in order to provide a safe and friendly environment for our guests and staff, and to abide by our legal obligations under the Liquor Control Reform Act 1998. Our staff are RSA trained and the final decision in respect to RSA issues is theirs together with the venue managers and owners. Our responsibilities and rights include the following and we also seek your assistance in achieving our aim to provide the best possible experience for you and your guests.
